It was the burdensome administration of sick leave, rather than high sick leave figures, that led Carspect to try Medhelp’s platform. But thanks to more efficient and consistent sickness absence management, they have already seen positive results on short-term absences. Administrative support that makes it easier to comply with health and safety laws
Following up on sick leave is an important part of the work of Tina Areskoug, HR Manager at Carspect, a car inspection company with 330 employees. Before introducing Medhelp Care’s health platform, following up required a lot of time and complicated administration. It was difficult to work systematically and to keep track of what needed to be done and when, especially for rehabilitation cases.
– I wanted to find a system that could simplify the management of sick leave and make it easier to comply with work environment and rehabilitation laws, and support compliance with our own work environment policies and procedures,” says Tina Areskoug.
Simplifies every step of the sick leave process
With MedHelp, managers get a better overview of everything that needs to be done and when. HR and the manager receive notifications when preventive measures are required, such as when someone has repeated short-term absences. The manager then receives a recommendation to hold a health interview with the employee to get a better picture of the situation and find a way forward that works for both the employer and the employee.
The platform also facilitates long-term absences, for example by reminder the manager and HR when it is time to making a plan for returning to work.
– We want to be able to support employees on sick leave back to work and Medhelp helps us make sure we follow every step of the rehab process. Follow-up interviews with the employee on sick leave are particularly important as they give us the opportunity to go through what we as an employer can do to help the employee return to work.
Furthermore, the platform facilitates the administration of medical certificates. Before they had MedHelp, employees sent the medical certificates to the HR manager. Now, employees upload them directly in the portal, which makes the management of the medical certificates more GDPR-safe.
– I have given our external payroll partner access to MedHelp, which means that they retrieve medical certificates in the portal. I do not have to send the medical certificates separately, which saves me time, says Tina Areskoug.
Reduced short-term absences
In addition to supporting managers and HR with working more uniformly with occupational health, an important reason behind the introduction of the health platform was to be able to provide employees with medical advice. Carspect uses the Plus Advice service, which means that all employees always have access to advice from licensed nurses, both in the event of childcare and their own illness.
As Carspect has gotten better at managing sick leave and offering employees medical advice, short-term sick leave has also decreased every month since the start of the health platform in April 2023.
– Even though it wasn’t high sickness absence rates that triggered the whole thing, it’s obviously a big plus if the introduction of MedHelp has resulted in lower sickness absence, says Tina Aerskoug.
Better conditions for HR to help managers
An important part of Tina Areskoug’s role as HR manager is to support managers in their work environment management to ensure that everything is done according to both their own procedures and the Work Environment Act. With MedHelp’s platform, it is easier for her to provide support to managers as all reminders and notifications are also sent to Tina’s inbox.
– It’s great that I, as HR, also receive the reminders from the platform for both health promotion and rehabilitation cases. What I usually do is contact the manager in question, both to remind and to ask if the manager needs help with, for example, creating a plan for returning to work, or for health talks.
Easy to get started
Implementing and getting started with the Health Platform went quickly and smoothly. By working closely with MedHelp’s customer support, they were able to ensure that their specific organisational structure was right from the start.
– I really think that MedHelp’s support is fantastic. They respond very quickly, are very friendly, and always help me even with the things that I might have been able to do on my own, but they still help me to get it right.
